Booking Policies, Terms and Conditions

Everything you need to know about how we work.

Thank you for choosing Caviar in the Air (“CITA”), a distinguished Delaware Limited Liability Corporation. The terms and conditions outlined here (“Terms”) govern all bookings for travel products and services provided by us. By purchasing any travel product or service, you acknowledge and agree to these Terms.

  • “Activity” refers to each recreational or other activity included in the Trip.
  • “Client,” “you,” and “your” refer to any guest or passenger booking a trip with us, including all members of the traveler’s party.
  • “Booking Confirmation” is the official confirmation of your reservation.
  • “We,” “us,” and “our” refer to Caviar in the Air, LLC.
  • “Trip” encompasses any Experience listed on our website, catalog, or marketing materials, or any reserved Experience detailed in your Client Confirmation, including all Activities.
All official communications will occur via the email address provided at the time of booking. Ensure you add us to your contacts to prevent our emails from going to spam.

Booking Policy

All bookings are subject to availability and are fulfilled (processed) for confirmation when payment is received. In rare cases, our system can oversell a trip. If this happens, you will be contacted after paying your deposit and provided a refund with the option to transfer to a new trip with a discount applied for the inconvenience. Deposits vary by trip, please check the trip details page for deposit amounts.

Pricing and Arrangements

Prices are per person. For shared accommodations, bookings must be made in double occupancy. Single occupancy requires booking a private room.

Forms of Payment

Caviar in the Air accepts major credit cards, debit cards, and wire transfers.

Changes in Occupancy

Any post-booking changes in occupancy will be subject to current pricing.

Filing a Chargeback

Contact us at [email protected] before initiating any chargebacks. Unauthorized chargebacks may lead to trip termination and a ban on future bookings.

Refund & Cancellation Policy

All payments are non-refundable and non-transferable due to our commitments with suppliers. We strongly recommend purchasing comprehensive travel insurance within three days of booking, including a “Cancel for Any Reason” option to cover non-refundable expenses.  If CITA cancels a trip, a full refund will be issued to you.  

Payment Plans

We offer flexible payment plans with a one-time administrative fee. Payments are bi-weekly, starting the month following booking. Plans are adjustable by contacting us.

Final Payment

Full payment is required 120 days before departure. Late payments may incur a $250 fee and risk cancellation.

Trip Cancellation

Trip payments are non-refundable.  Cancellations must be communicated in writing. Non-payment may lead to trip cancellation, which we will attempt to notify you about via multiple channels. Upon cancellation an invoice showing the amount paid will be provided that you can submit to your insurance partner to seek reimbursement of the non-refundable monies paid towards the trip.

Transfers and Adjustments
  • Trip Transfers: Up to six months before departure, clients may transfer to another available trip for a $250 fee.
  • Roommate Matching: If you book a double occupancy without a roommate, we will try to match you with another traveler. If no match is found 100 days before the trip, you will be billed for half of the single occupancy rate.
Vendor Recommendations
We provide third-party vendor recommendations as a courtesy. Engagements with such vendors are at your own risk, and Caviar in the Air is not liable for any disputes that may arise.

Travel Documents and Requirements

Clients are responsible for obtaining all necessary travel documents, including visas and vaccination certificates. Please verify all requirements well in advance of your trip.


The standard allowance includes one checked bag and one carry-on. Excess luggage incurs a $100 charge per piece. Safari trips may have stricter limits.


Caviar in the Air is not responsible for any personal or property losses or damages during the trip. We recommend ensuring all valuable items are adequately insured.

Trip Cancellation by CITA

We reserve the right to cancel trips due to insufficient enrollment or external factors affecting safety and feasibility. In such cases, a full refund or a credit for future travel will be offered.

Force Majeure

In the event of uncontrollable circumstances, such as natural disasters, pandemics, or political unrest, performance under this contract may be suspended. Outcomes will follow the cancellation policies of our suppliers and these terms.
